Job Title: Executive Assistant to CEO

Location: Bahamas (Local candidates only)

Position Overview: We are seeking an experienced and highly organized Executive Assistant to provide support to the CEO of a boutique firm based in the Bahamas. The ideal candidate will have at least 3 years of experience as a Personal or Executive Assistant in a boutique or high-end environment. You will be responsible for managing a wide range of executive-level administrative tasks while maintaining a high level of discretion and professionalism.

Key Responsibilities:

  • Provide comprehensive administrative support to the CEO, including managing schedules, appointments, and travel arrangements.
  • Act as the first point of contact for internal and external communications on behalf of the CEO.
  • Organize and prioritize incoming correspondence, emails, and phone calls, ensuring urgent matters are handled promptly.
  • Prepare and edit reports, presentations, and other documents for meetings and projects.
  • Manage the CEO’s calendar, ensuring seamless coordination of meetings, conferences, and personal engagements.
  • Assist in organizing events, meetings, and conferences, including preparing materials, agendas, and minutes.
  • Handle confidential information with the utmost discretion and maintain a high level of professionalism at all times.
  • Coordinate travel itineraries and accommodations for both business and personal travel.
  • Assist with personal tasks and errands as needed.

Qualifications:

  • A minimum of 3 years of experience as an Executive Assistant or Personal Assistant, preferably in a boutique or high-end business environment.
  • Proven ability to manage multiple tasks and projects with flexibility and adaptability.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to handle sensitive and confidential information with discretion.
  • Strong problem-solving skills and ability to work independently.
  • Based in the Bahamas with knowledge of local business networks and resources.

Preferred Experience:

  • Previous experience working closely with C-level executives.
  • Event planning and travel coordination experience.
  • Background in hospitality, luxury services, or boutique businesses.
